1. HUMAN RESOURCES - back office

HR Back Office is the part where employees of the Human Resources Department can enter all the basic data in the system such as systematization of job positions, training courses, education, religion, nationality etc. Detailed records for the employees including transfers between job positions are also entered. All the decisions related to a specific employee are automatically created and printed in this part of the application.  Hr Department also creates CONTENT for „HR Informer” accessible for all employees.

2. HUMAN RESOURCES - Portal

Portal is the part that is accessible by each employee and through which they can get general information, preview their personal records, preview their evaluations by other employees, create leave requests etc.  
The HR Portal also allows the employees to communicate with the HR Department and with their managers. They can get all the news, ask different questions or discuss their own requests.

1. HUMAN RESOURCES - back office

1.1. JOB SYSTEMATIZATION 

Creating and managing departments/sub-departments and job positions in the active systematization.

Generating a hierarchical diagram of the job positions.

Creating an unlimited number of positions containing detailed description of the skills and qualifications that those positions require.

Each position type has a number of EXECUTORS so that the system can automatically create a job position of this type per executor.

1.2. PERSONAL RECORD PER EMPLOYEE
1.2.1. Personal data of the employee

Detailed information per employee such as: name, personal ID number, personal number in the company, sex, photo, address, nationality, citizenship, religion, marital status, children, education, years of experience…

1.2.2. Training Courses that the employee has taken

Depending on the job systematization, each employee gets a list of training courses  that correspond to their current job position and that they need to take. Also, there is a training course reminder that the HR Department uses to get informed when an employee is supposed to take another training.

1.2.3. Transfers between job positions

Implementing different types of official decision templates corresponding to the employment status per each employee. The templates can be changed when needed.

Automatically printing the decisions.

The job terminations can also be confirmed the same way as the job transfers. The terminations can be based on different reasons that can be defined by yourselves.

1.2.4 Rewards and Penalties

The rewards and penalties system is implemented according to the Company Agreement. The data are inserted by an employee of the HR department and are shown in the employee's record.

1.2.5. Evaluation

Each employee can access their evaluations that are taken by their manager using the HR Portal in their own record. The evaluations are taken considering different evaluation factors.

1.2.6. Leaves and Vacations

Records of all leaves, paid or unpaid, vacations, sick leave etc. for each employee.

1.3. ADMINISTRATION
1.3.1. Non-working days per year

Automatically calculating the number of days of vacation for each employee according to his/her personal data on nationality and religion. Every year all holidays (state, national and religious) are inserted.

1.3.2. Automatically calculating the number  of days of paid annual leave

According to the collective agreement, we will implement the functionality to calculate the number of days of vacations for each employee individually. This may depend on education, years of experience, age etc.

1.3.3. Reporing and Overview

Predefined views that are commonly used, such as: current state, vacancies, address data for employees etc.

1.3.4. AD HOC Reporting - Access to all of the data in the system

AD-HOC Reporting for predictive analyses in HR.

Access to all of the data in the system at any time, with implementation of complex filters.

Export data in Ms Excel.

Maintaining data for special training courses and knowledge necessary for each job, according to your needs.

Fast and easy planning on future training for all employees according to their job position.      .

2. HUMAN RESOURCES  - Portal

2.1. PERSONAL CARD – all the data about the employee

Using “Send email” in the portal, one employee can submit data correction request to the HR department.

The receiving e-mail address of the HR department is easily configurable through the portal.

The data inserted by the HR department, according to  1.2.1. are read only accessible to the employee.

2.2. LEAVE REQUEST
2.2.1. Leave request created by the employee

The employee receives a response from its manager for every confirmation or denial as well as denial reason.

2.2.2. Leave request approved/refused by the manager per employee in the department that he/she is responsible for

Through the portal the manager can see all vacation requests submitted by his/her employees.

2.3. EVALUATION created by the manager per employee in the department that he/she is responsible for

Employee’s files created by the manager are persisted even after the employee moves to another department.

You can define the grades (the rank 1-5 or A, B, C).

2.4. HR INFORMER - information "desk" for all employees 

The employee can use the HR Portal to access all important files for himself.

The selection of these files is responsibility of HR department’s employee and they are immediately accessible by all affected employees. For example: opened job positions, changed working hours, corporate party details etc.
